A quick introduction to Microsoft Project 2013 and the Visual Resource Optimizer in half an hour

As I noted, this is a standard and complete 3-day course on Microsoft Project. The most expensive and most massive educational product on the market for MS Project, on which the MS Project business training was previously built, now it is transferred to you free of charge. However, the de facto standard training program has drawbacks, it does not include a speedy product overview. An analysis of our statistics on YouTube showed that out of 300,000 project managers who watched our films, about 70% prefer to study not in the way the trainers impose on them, namely to take a quick introductory course in about 30 minutes, and then study selectively those places in MS Project that they need to work.

For this quick introduction, this free "MS Project in 1 Day" tutorial is recommended if you have chosen the selective deepening approach in MS Project described above.

I have recorded a new version of the mega-popular introductory course on MS Project, including the "Visual Resource Optimizer". the current level of requirements for the qualifications of project managers has increased since 2007 and now resource management is a mandatory area of \u200b\u200bcompetence.

1.Introduction to project management methodology based on ISO 21500 standard and a complete overview of the MS Project 2013 interface

A. Concept of the project

B. General principles of project management

C. The main stages of working with a project

D. Project Management Automation Tools

E. Overview of Microsoft Project 2013

I have included in this block the first in the CIS introduction to the project management methodology based on the ISO 21500 standard, explaining the difference between the concept of a project according to the ISO and PMI methodology. The course focuses heavily on the limits of applicability of standard techniques and from when is it necessary to apply industry solutions. The emphasis is made on the importance of the planner as a success of implementation This introduction turned out to be in a way unique in its emphasis precisely on the limits of applicability and risks from the introduction of standard methodologies, which are usually hidden by trainers. Based on the number of "approvals" on YouTube, the Community found this introduction to modern project management methodology very effective. To download the Russian version of the international standard ISO 21500 for Project Management use this link.

In my opinion, the standard course on MS Project in the most expensive 3-day version has a methodological error. The fact is that trainers talk about how the MS Project interface works, ignoring the fact that they overload beginners with redundant information. As I already noted, the "quick introductions" with which we started the course are more effective. However, we specifically follow the standard program so that there are no blocks from the standard training program that are not covered by our free courses.

Below is a complete overview of all the menus and all options in Microsoft Project 2013. In fact, this block is more useful for experienced users, because probably many were tormented by the question "what is this button?" It tells you about all the buttons and what they do. However, even listing the MS Project functionality took one hour. If you are a beginner you might want to skip this block as possible "overload" from the abundance of information, go further through the program, and then return to this lesson.

2.Creating a new project and a quick introduction to network planning

A.Creating a new project from scratch and based on a template

B. Setting project parameters

C. Project timeline

D. Top-down planning

A standard commercial MS Project course usually starts with creating projects. However, trainers are silent about the limitations of the MS Project functionality in the practical applicability of templates, as well as the features of Excel-like functions that Microsoft has introduced into the product to increase its sales. In this block, I highlight the risks of rash implementation of the "first line of use" functions of MS Project, which are designed largely by sellers, not methodologists.

If you don't want to know why MS Project templates are rarely implemented, you can turn to the beginning of the video, for this there is a link. If you are wondering how the template system works in other products and.

3. Working with tasks as part of the project

A concept of the task

B. Create, modify, delete tasks

C. Establishing links between tasks. Respect Connections command

D. Create a task hierarchy

E. Task parameters (duration, limitations, method of calculating labor costs, etc.)

F. Special types of tasks (repeating tasks, milestones, interrupted tasks)

G. Overview of the most common situations associated with changing work parameters

This video contains a block recording of a standard commercial course on MS Project 2013 with coverage of all the options for tasks in the project. In contrast to the mechanical presentation of options by trainers, the course focuses on those options that are actually used, and also shows how MS Project automatically switches restrictions on tasks, which is a surprise for many users.

As practice shows, when working with project tasks, exotic parameters of links are rarely needed, however, the methodology for creating Hierarchical Work Structures (WBS, WBS) is much more important. I made a video tutorial that covers the creation of work structures from a methodological point of view, ignoring rare options. If the methodology is more important to you, and not the enumeration of all the options as in the previous lesson, then you can see this version of the story how the work structures are made.

4. Resource and budget planning

A resource types

B. Set up project calendars and resources

C. Resource Assignment. Planning "from resources" and "from work"

D. Working with resource costs

This video tutorial contains at the beginning a small repetition about network planning, because many people know how to operate with tasks, but do not know how to use MS Project resources. The lesson is designed so that you can watch it in isolation from others. The lesson shows the subtle effects of resource management options on MS Project tasks. Some of the questions are included in the lesson on MS Project reporting below, where it is shown how, by manipulating resources and new reports in MS Project 2013, to build the Movement of Funds including balances and turnovers in periods.

The instructional video mentions rationing for industrial and construction projects, if you lead projects of this type, there is a separate lesson for you, taking into account special tools.

5.Analysis and optimization of the project

a.Overloading resources and its elimination. Automatic resource leveling function
b.Task path
c. Team Planner Resource Optimizer
d. Project budget analysis
e. Analysis of the project schedule. Critical path method.
f. risk analysis
g. project optimization

We have included an overview of the resource optimizer and leveling in the basic knowledge, taking into account current trends. Some of the issues on project analysis are discussed in the reporting block below. Another lesson on the Critical Path will be added in this section.

    With the help of MS Project, a competent Moscow manager who has undergone appropriate training will be able to achieve the set goals, observing the time and budget allocated for the project. The tasks that are included in the project are determined, all resources are already distributed between them: material, technical, labor, financial and time. Also, using the application, task connections are determined, the critical path is analyzed, the project documentary library is formed. All this is accessible and easily accomplished by a competent specialist who competently uses MSP in his work.

    To do a big and important job, you need two things: a clear plan and limited time. (Elbert Hubbard, businessman and writer)

    However, for a person who has no experience with this application or has studied it only in theory, it is difficult to apply in practice even a small part of its functions. The Alliance training center offers to solve the problem. For this, we have prepared a lot of opportunities - Project courses in any format that best suits the needs of our clients, both from Moscow and other regions.

    Is there a prerequisite for Microsoft Project courses?

    The first question that arises for our potential client is whether it is worth preparing for training? Most often it occurs among beginners who are just starting to master computer programs from scratch. We can say with confidence that no preparation is required - the teacher will present everything you need. In our courses, we individually consider each application, advise the most profitable form of training, explain the features of each of them. We have MS Project courses for both beginners and professionals. The latter category of students is usually applied to improve their qualifications, gain fresh knowledge and expand their professional capabilities. Beginners learn the subject from scratch, mastering the basics of project management using the Project program.

    Expanding the use of Project beyond Moscow

    Alliance is the oldest educational center in Moscow, which makes teaching Microsoft Project accessible and interesting. Thanks to a well-chosen curriculum, drawn up by specialists, taking into account their experience and current trends in the field of education, the courses give excellent results. At the same time, everyone can choose the form of classes, taking into account their capabilities and wishes. We offer one-on-one onsite training, corporate courses and even distance learning. Therefore, it does not matter for us at all whether your initial level of computer literacy is sufficient or not, whether you live in Moscow or far from large cities of Russia, whether you want to study individually or feel more comfortable in a group - we can offer the most optimal option for you. Also in our training center, when choosing courses, you can focus on their cost, but regardless of the price, trainings will always be very effective and very interesting. After all, the main thing for us is the desire to acquire the necessary knowledge and skills in management design in the Project application.

    As a weighty argument in favor of studying at the Alliance Center - a formed team of professional teachers from leading Moscow universities. We have carefully selected the most competent and qualified specialists who have many years of teaching experience, are endowed with the talent to share knowledge with students and who simply love their job. The combination of all these factors gives a truly amazing effect - our clients receive excellent knowledge and invaluable practical experience. And after completing the courses, they not only have a baggage of theoretical knowledge, but successfully use the opportunities opened by the MS Project program in their professional activities.

We are ready to conduct training for Microsoft Project, as well as provide advice on using Project to solve your business problems. Moreover, you do not have to go to the training center for new knowledge: we organize training via the Internet using modern conference calls. You can order individual consultations, or training for a small group of specialists from your organization.

Why MS Project courses don't work

As a result of communication with many Brise clients, we have developed an understanding of why traditional Microsoft Project group courses are likely to be of little help to most of their participants.

  • The trainer has a standard course program in advance, in which it is impossible to take into account the different level of training of the group members, as well as the differences in learning goals that they set for themselves. This problem is especially acute when training is not corporate, and a group of employees from different organizations gathers.
  • With a large number of students, the trainer does not have the opportunity to pay enough attention to work issues and the difficulties that arise in the learning process for each of them. It sounds paradoxical, but the more the trainer earns from teaching the group, the worse he will teach each of its participants.
  • Usually the courses run only for several days in a row, during which the teacher tries to "load" a lot of information into the listener at once, with very limited practice and the impossibility of comprehending this information in practice. A stunned student may leave a happy response right after the course, but after a while it turns out that he has learned very few skills, or not those that he will need in practice.
  • In the worst case, as part of a project management course, training is not conducted in a computer classroom, but in front of a whiteboard and a projector screen, and students do not get any practice of using the Project program at all.

Which approach to learning is more effective

Several short workshops instead of one long one... Our seminars last no more than 2 hours. At the same time, the breaks between them should be several working days so that the listener can master the acquired knowledge in practice.

Small groups... In group training, we only allow a maximum of five people per group, all from the same organization. This will allow employees to share their experience with each other and help develop common approaches to further work.

No travel to the training center... In the 21st century, with the general availability of the Internet, it is an unaffordable luxury to spend as much time on a trip to and from class as the seminar itself.

Who conducts the training: our experts

We offer one-on-one advice from Microsoft Project experts who do not specialize in training but have extensive experience in the practical use of the product. Brise experts:

  • Implement MS Project in organizations of various industries;
  • Write articles about using Project in project management, which are published, including on our website;
  • Answer numerous questions on one of the main Russian-language Project forums;
  • Solve complex technical problems, including when interacting with Project developers;
  • Additional components for MS Project are being developed.

According to our estimates, there are no more than 30 experts of such qualifications in the entire CIS, but we offer individual consultations for three of them with hourly payment at the price of an ordinary dentist's services.

Cost of education - 2 500 rubles per hour, regardless of the number of participants (from one to 5 people). Compared to other popular courses, one-to-one tuition of 3 hours or more may be more beneficial than a whole course.

Project training and consulting topics

The training program is individual for each student or group, and is drawn up based on the results of a preliminary interview. We offer the following popular and important topics that can be included in your curriculum:

  • Professional customization of Microsoft Project projects or their templates according to the needs of your organization:
    • automatic indicators of the status of tasks (status, deviations in the rate of implementation of volumes, delays);
    • setting up formulas in custom fields to calculate the required task indicators (planned% completion and volume of work as of the report date, planned balance, deviations in terms and rates of completion);
    • setting up views and tables of the Gantt Chart to group and display the necessary indicators of tasks and assigned volumes;
    • setting for the manager for all indicators of the schedule (completed and remaining volumes, cumulative earned volumes, deviations by periods and cumulative, budget utilization, etc.);
    • setting up project templates for accounting for mutual settlements under contracts with contractors;
    • setting up OLAP cubes templates for automatic creation of charts and Excel pivot tables for any indicators of MS Project tasks.
  • Consulting on the customizations of your sample projects and problems arising in MS Project.
  • Configuring shared workspaces in cloud document repositories for remote contributors to access project data.
  • Data integration between Excel documents and MS Project.
